Contractual Agreement Clauses

Reserve a group or wedding block with a minimum of 15 rooms and a contractual agreement with the following highlighted clauses:

  • Blocks will not be considered on Holiday Weekends.
  • Upon receipt of a signed contract and credit card authorization form, a deposit equaling one night's room and tax (12% + 2% TBID) will be required for each room reserved within the block. A proposal will allow you to calculate deposit.
  • Contract cancellation policy is 30 days prior to arrival date to receive full deposit refund (should the event be cancelled or rescheduled).
  • There is a commitment/obligation to 15 rooms. These rooms are non-cancelable with an active contract.
  • Individual guest cancellations (3 days prior to arrival date) cannot exceed the obligated minimum rooms.
  • A rooming list can be submitted (usually done if you'd like to be responsible for room costs) or individual guests can make their own reservations by calling us directly or through our website (rate code will be provided).
  • When an individual guest confirms a reservation, we will take a payment from them (1st night's room and tax) and partially refund the block deposit appropriately. This will be updated upon request. A progress report will be included.
  • Progress report will include a rooming list (guests that have made reservations), copy of refund deposit receipt (refunds reflecting reservations made), and a blocked and remaining rooms report (shows which room types have been reserved and are available).
  • Any unused rooms, apart from the obligated minimum rooms, will be released 30 days prior to arrival date with the appropriate refunds.
  • If a guest booking prevents a room type to be reserved for all nights originally blocked, that unused night will be released (i.e. If a block is made for two nights, Friday and Saturday, and a guest reserves a room type for Friday only, that Saturday night will be released from the block).
  • Gift bags are welcomed and complimentary for an active wedding block. Gift bags can be left at the office. We'll distribute them to the appropriate guests as they check in. To ensure proper delivery of personalized gift bags, be sure to cross reference your gift bag list with the final rooming list.
